Data Use Agreement

Consent to Data Collection and Use

By accepting this agreement, you consent to Beam Telepet collecting and storing your personal information and pet records in Canada, as necessary to provide veterinary services. This agreement supplements our Privacy Policy and is designed to ensure full transparency about how your data is used.

Compliance with PIPEDA

Beam Telepet is committed to protecting your privacy in compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. We only collect, use, and disclose your personal information with your knowledge and consent, and only for purposes that a reasonable person would consider appropriate.

Personal Information

We collect the following personal information to provide our services:

  • Identity information: Full name, email address, phone number, and mailing address
  • Account credentials: Username and securely hashed password
  • Payment information: Billing details processed through our secure third-party payment processor (we do not store full credit card numbers)
  • Communication records: Messages, emails, and consultation notes exchanged through the platform

Pet Records

We collect and maintain the following information about your pet(s):

  • Pet name, species, breed, age, sex, and weight
  • Medical history, including previous diagnoses, treatments, and medications
  • Consultation notes, treatment plans, and veterinary recommendations
  • Photos, videos, and other media shared during consultations
  • Prescription history and pharmacy information

Technical Information

  • Device type, operating system, and browser information
  • IP address and approximate geographic location
  • Platform usage data, session duration, and feature interaction logs

How We Use Your Data

Your information is used for the following purposes:

  • Providing veterinary services: Facilitating teleconsultations, maintaining medical records, issuing prescriptions, and supporting ongoing care
  • Account management: Creating and managing your account, processing payments, and communicating about appointments
  • Improving our platform: Analyzing usage patterns to enhance features, performance, and user experience
  • Legal compliance: Meeting record-keeping obligations under veterinary regulations and applicable law

All personal information and pet records are stored securely in Canada. We implement industry-standard technical and organizational safeguards, including:

  • Secure backup procedures to prevent data loss

Data Sharing and Disclosure

  • Veterinarians: Licensed veterinarians providing your pet's care through the platform
  • Service providers: Third-party providers who help operate our platform (e.g., cloud hosting, payment processing), bound by strict confidentiality agreements
  • Regulatory bodies: When required by law, regulation, or legal process

We do not sell, rent, or trade your personal information or pet records to third parties for marketing purposes.

Data Retention

We retain your personal information and pet medical records for as long as necessary to provide our services and comply with legal obligations. Veterinary medical records are retained in accordance with the record-keeping requirements set by the College of Veterinarians of Ontario (CVO), which generally require a minimum retention period. After the retention period, data is securely deleted or anonymized.

Your Rights

Under PIPEDA and applicable privacy law, you have the right to:

  • Access: Request a copy of the personal information and pet records we hold about you
  • Correction: Request correction of inaccurate or incomplete information
  • Withdrawal of consent: Withdraw your consent to the collection and use of your data, subject to legal and contractual restrictions
  • Complaint: File a complaint with the Office of the Privacy Commissioner of Canada if you believe your privacy rights have been violated

Withdrawal of Consent

You may withdraw your consent to data collection and use at any time by contacting us at info@beamtelepet.ca. Please note that withdrawing consent may limit or prevent us from providing veterinary services to you. Withdrawal does not affect the lawfulness of data processing carried out prior to the withdrawal, and certain information may be retained as required by law.

Changes to This Agreement

We may update this Data Use Agreement from time to time to reflect changes in our practices or applicable law. We will notify you of material changes by posting the updated agreement on this page and updating the "Last updated" date. Continued use of our services after changes constitutes acceptance of the revised agreement.
